Roots Policies / Info

Roots Gymnastics Center appreciates you – our customers! Please read this information carefully as it has a lot of information regarding our registration, enrollment and continuing participation policies. Please let us know if you have any questions, and ‘thank you’ for being a part of the Roots organization.

REGISTRATION: Our registration process begins in September each year and runs year round through August. Recreational programs run on 8-week terms while team programs are offered monthly. Students can join at any time (based on class and space availability) with the remainder of an enrollment period prorated. There is a $25 ($40 family) non-refundable registration fee upon enrolling and all students must have a safety/liability waiver signed by a parent or legal guardian before attending any activity at Roots Gymnastics.

TUITION PAYMENT POLICY: Registration for any class may occur online, onsite, or on the phone. Tuition for all programs and other activities is due in-full at the time of registration and may be prorated based on your start date.  We will not hold a spot in a class without full payment and you cannot register for any class more than two weeks prior to your scheduled start date (exception for term 1 and/or summer programs). For recreational classes, we accept check, cash and the following credit cards: MasterCard, Visa, Discover and American Express. We require a credit card to keep on file with automatic monthly billing for all team and developmental team programs. There are no refunds for dropped or missed classes.

CONTINUOUS ENROLLMENT POLICY: Roots Gymnastics enrollment is continuous, which means that each student is enrolled for consecutive terms until a parent gives us notification of withdrawal. This is true for terms 2 through term 5. All regular enrollment ends in term 5 as the summer program class options differ from the academic year programs. Continuous enrollment is considered a customer benefit as it ensures that your child maintains their desired class day, time and instructor from term to term. However, payment must be made during the Priority Payment Period (see below) in order to maintain continuous enrollment.

PRIORITY PAYMENT PERIOD FOR CURRENT STUDENTS: Each term has a Priority Payment Deadline for current students that starts approximately two weeks prior to the beginning of the next term. Payments must be made prior to this deadline to maintain your continuous enrollment in your current class. If payment is not received by this date then students may be dropped from class until full payment is received. During any period that a student is dropped, Roots Gymnastics cannot guarantee re-enrollment in the same class as new or waitlisted students may fill the vacant spot. Priority Payment Deadlines are included on our website, on the printed program schedule, and are posted in the gym. In addition, a reminder email and statement will be sent to all families with an active email address for any positive program balance.

MISSED CLASS & MAKE-UPS POLICY: We highly recommend your child take their regularly scheduled class with their regular teacher as this is in their best interest for consistency and the learning process. However, we do understand that things “come up” and students are eligible to make-up two (2) classes per term, which can be made in any comparable regularly scheduled class (based on space availability). Make-up classes must be scheduled in advance and must be completed in the same term as the absence. In some instances, make-ups may be allowed in the first week next consecutive term, as long as the student is still enrolled and paid for that term. Classes have no cash value if missed and tuition is not prorated, credited or refunded for absences including, but not limited to, illness, vacation, holidays, snow days, etc.

DISCOUNTS POLICY: Family discounts are offered when more than one immediate family member is enrolled in recreational (term-based) programs at the same time. Only the most expensive tuition pays full fare and all lesser tuitions are discounted at 10% each. In addition, a 15% multi-class discount is available for any students who is signed up for two or more recreational classes at the same time.

RETURN CHECK POLICY: There is a $25 charge for all checks returned for Non-Sufficient Funds (NSF).

INCLEMENT WEATHER POLICY: If there is inclement weather, or the threat of inclement weather, please call the gym at 413-562-2333 or visit our website at We will leave messages on both our webpage and voicemail in case of a closing or delay. Please keep in mind that our students come from dozens of school districts in the Pioneer Valley (and beyond) and our weather related closings/delays will not correspond directly with each school district.

WHAT TO WEAR: Boys or girls may wear gym shorts or sweatpants with a t-shirt that tucks in, or a leotard for girls. Students should dress appropriately with long hair tied back and jewelry left at home. Clothing should allow movement without being baggy and items with buckles, snaps or zippers are not permitted. Gum is not permitted. For your convenience, Roots Gym has a fully stocked pro shop with a variety of gymnastics appropriate clothing.
