Roots Gymnastics Enrollment Policies
Roots Gymnastics Center appreciates you – our customers! Please read this information carefully as it has a lot of information regarding our registration, enrollment and continuing participation policies. Please let us know if you have any questions, and ‘thank you’ for being a part of the Roots organization.
REGISTRATION: Our registration process begins upon your initial sign-up with Roots Gymnastics Center, Inc. and all recreational and team based programs run on a monthly schedule. Students can join at any time based on class and space availability. All participants must have a safety/liability waiver signed by a parent or legal guardian before attending any activity at Roots Gymnastics Center.
PAYMENT POLICY: Roots Gymnastics memberships run on a MONTHLY and automatic tuition schedule. We ask all families to keep an updated credit card on file. Your tuition for classes is not based on a number of classes, but on a period of time. In any given month there may be 3, 4, or 5 classes depending on holidays, weather events, or scheduled gym closings. Tuition for all programs and other activities is due in-full at the time of sign-up and families are required to keep a working credit card on file. Tuition may be paid BEFORE the first of the month by other means (check, cash or other credit card). However, if tuition is not received before the first the family's credit card on file will be processed for all current charges due. We will not hold a spot in a class without full payment and you cannot register for any class more than two weeks prior to your scheduled start date. There are no refunds for dropped or missed classes.
Payment for any Special Events are due upon enrollment. These fees are non-refundable and no credits or rescheduling options are available.
CONTINUOUS ENROLLMENT POLICY: Roots Gymnastics enrollment is continuous, which means that each student is enrolled for consecutive months (between September through June) until a parent gives us written notification to disenroll. To disenroll, Roots Gymnastics requires written notice of intent to disenroll to be given at least 30 days in advance from the next tuition due date. There are no refunds for cancellations if notice was not received and there are no refunds for missed classes. Continuous enrollment is considered a customer benefit as it ensures that your child maintains their desired class day and time from month-to-month. Please see the front desk for a Withdrawal Form or email us at firstname.lastname@example.org.
MISSED CLASS & MAKE-UPS POLICY: We highly recommend your child take their regularly scheduled class with their regular teacher as this is in their best interest for consistency and the learning process. However, we do understand that things “come up” and students are eligible to make-up one class per month, which can be made during our designated "Make-Up Class" on Sunday's at 12:00pm (based on space availability). Make-up classes must be scheduled in advance and must be completed in the same month as the absence.
Roots Gymnastics Tuition pays for your child's spot in class, regardless of attendance. Monthly tuition remains consistent, regardless of the actual number of class days per month. Classes have no cash value once missed and tuition is not prorated, credited or refunded for absences including, but not limited to, illness, vacation, holidays, snow days, etc.
DISCOUNTS POLICY: Family discounts are offered when more than one immediate family member is enrolled in recreational programs at the same time. Only the most expensive tuition pays full fare and all lesser tuitions are discounted at 10% each. In addition, a 15% multi-class discount is available for any student who is signed up for two or more recreational classes at the same time.
RETURN CHECK POLICY: There is a $25 charge for all checks returned for Non-Sufficient Funds (NSF).
INCLEMENT WEATHER POLICY: If there is inclement weather, or the threat of inclement weather, please call the gym at 413-562-2333, visit our website at www.rootsgymnastics.com, or view us on Facebook under Roots Gymnastics Center. We will leave messages on our voicemail and Facebook in case of a closing or delay. Please keep in mind that our students come from dozens of school districts in the Pioneer Valley (and beyond) and our weather related closings/delays will not correspond directly with each school district.
WHAT TO WEAR: Boys or girls may wear gym shorts or sweatpants with a t-shirt that tucks in, or a leotard for girls. Students should dress appropriately with long hair tied back and jewelry left at home. Clothing should allow movement without being baggy and items with buckles, snaps or zippers are not permitted. Gum is not permitted. For your convenience, Roots Gym has a fully stocked online and in office pro shop with a variety of gymnastics appropriate clothing.
